  Directions and Steps for Moving

 Check-In

  1. Arrive on time. Don’t arrive earlier than your appointed move-in time. You will not be allowed to enter the parking lot. Move-in times are based on room assignments.
  2. Don’t arrive in a motor home, moving van, trailer or RV. Large vehicles take up too much space in our parking lots and are difficult to navigate on narrow campus streets.
  3. Bring your assignment brochure with you. Check your mail for your personalized assignment brochure, which includes your move-in time, room assignment and a move-in-day parking pass. You may only park one car at your community.
  4. Check in at your Resident Services Office (RSO) to receive your room key. You will also receive a move-in inventory list, which is to be returned to the RSO. If you do not receive your student ID (R’Card) by Move-In Day, contact UCR Card Services.
  5. Check out a moving cart and unload. Residents are limited to one cart. If you need a cart after Move-In Day, visit your RSO. You may also bring your own carrier or moving cart.
  6. Return your move-in inventory to your RSO. After you return your checklist, you will receive your mailbox key. Failure to return a move-in inventory on Move-In Day will imply that your room/bed space is acceptable “as is.”
  7. Review your Resident Handbook to learn about your new community, and stay informed about your rights and responsibilities.

You have two ways to check out at the end of the academic year. Learn more about express check out and regular check out below.

  1. Attend your end-of-the-year hall/floor meeting to get your closing packet and to discuss any questions you might have regarding closing with your Resident Advisor (RA).
  2. Schedule your Check-Out appointment. Your RA will post a schedule of available check-out times outside of their room. Schedule your appointment at least 24 hours in advance, so your RA can adequately prepare for your departure.

    Note: You must check out no later than 24 hours after your last final. If you have a problem scheduling your appointment, please contact your RA to make special arrangements.
  3. Pack (or properly dispose) of all your belongings. You will not be allowed to check out if any items are left in your room, except university furniture and the Ethernet cable that came with the room. Make sure you take any items you might have in common areas.
  4. Submit a change of address with the US Postal Service and update your address on R'Web account. Mail cannot be forwarded by the Resident Services Office (RSO).
  5. Meet your RA in your room at your appointment time, ready to turn in your keys and leave the Residence Hall. You and your RA will inspect your room and compare it to what was reported on your room inventory at the beginning of the year. If damages are observed, charges will be assessed at that time.

  4. Pick up an Express Check-Out Envelope from your RA or RSO once your room is empty and clean. Fill out the front of the envelope, sign it, and put your keys and the address card inside. Seal the envelope and drop it off at the RSO in the box marked “Express Check-Out.”
  5. Note: If you choose Express Check-Out, you are agreeing to the following:
    • A staff member will check your room after you leave against your room inventory.
    • A staff member will assess damages without you there.
    • You will be notified of the charges or fines via your UCR email account.

 Check-In

  1. In August, you will receive notification by email about Check-In Day, your appointed arrival time, check-in location, parking permit information and instructions to complete your online Resident Orientation prior to arrival. Check-in will be most efficient if you complete your orientation as requested and do not arrive earlier than your appointed check-in time
  2. Read through the Check-In Guide, which is filled with essential information for your arrival to your new apartment, valuable phone numbers and important maps of your new community.

  3. Check in at your designated Check-In station to receive your keys and a Move-In Inspection form.
  4. Complete a Move-In Inspection form before you settle into your apartment. Return completed forms to your designated Check-In station. You will not receive your mailbox key until your form is received. Failure to return a move-in inventory list on Check-In Day will imply your consent that your apartment/bedspace is acceptable “as is.”
  5. Check out a moving cart. Carts are available on Check-In Day. Residents are limited to one cart, with a 30-minute time limit. If you need additional time for a cart, ask at the RSO.
  6. Review your Resident Handbook to learn about your new community and stay informed about your rights and responsibilities.
  7. Be on the lookout for your Resident Advisor (RA), who will be in the community that day to meet you.

 Check-Out

  1. Pre-Inspection. The Pre-Inspection is completed by Housing Staff during a pre-announced time period approximately 45 days prior to the Expiration Date of your Contract. This is an early warning (no charges will be assessed) to alert you of any concerns we have about the condition of your apartment. You do not need to be present.
  2. Start thinking about what to do with your stuff. All of your belongings must be removed from your apartment before the Final Inspection.
  3. Submit a change of address with the US Postal Service and update your address on R'Web account. Mail cannot be forwarded by the Resident Services Office (RSO).
  4. Move out by 5pm on your Contract Expiration Date. You can leave anytime prior to your Contract Expiration Date, but we will not pro-rate your rent. Make sure you leave your keys and parking pass at your RSO in the official Key Return Envelope provided in your mailbox. Find your move out date here.
  5. Final Inspection. The Final Inspection will be conducted by Housing Staff when residents have departed. Inspection results will be emailed to residents and any charges or credits will be reflected on the resident's R'Web account.

 Check-In

  1. Read through your "Welcome Brochure", which is filled with essential information for your arrival to your new residence, including utility information (see #2, below), amenities, valuable phone numbers and maps of your new community.

  2. Arrange for gas and electric service. Gas and electric service must be arranged prior to move-in. Residents must provide proof of this arrangement before keys will be issued. Residents are billed for these services based on usage. Housing Services pays for your water service. Your conservation of water is, therefore, much appreciated and will help keep your rent from increasing.
  3. Pick up your keys on your scheduled move-in date at the UCR Campus Apartment Resident Services Office. Each Canyon Crest Family Student Housing deposit holder will be issued a total of three (3) keys: one deadbolt key for the entrance to their unit, one Common key and one mailbox key. Only one “set” of keys will be issued for each contracted resident.
  4. Review your Resident Handbook to learn about your new community and stay informed about your rights and responsibilities.

 Check-Out

  1. Submit an Intent to Vacate/45-day notice. Visit your Resident Services Office to pick up and submit an Intent to Vacate notice prior to planned departure.
  2. Complete a departure evaluation form. Upon approval of your Intent to Vacate notice, we will ask you to fill out a departure evaluation form. This form helps us improve living conditions for future residents.
  3. Schedule a Pre-Inspection. Housing Staff must perform the Pre-Inspection 14-30 days prior to your scheduled move-out. This inspection is necessary to determine the degree of work anticipated when your unit is vacated and also to communicate guidelines to you in preparing for the Final Inspection.
  4. Schedule a Final Inspection. A Final Inspection will be performed the day of physical departure or as soon as possible, Monday through Friday, 9 a.m. to 3 p.m. Weekend and holiday move-outs will require an inspection on the following business day. The Final Inspection documents the condition of the unit upon being vacated. Charges are assessed for conditions deemed unsatisfactory.
  5. Submit a change of address to the US Postal Service and update your address on R'Web so that your mail will be forwarded after departure. Mail cannot be forwarded by the Resident Services Office.
  6. End utility services. Schedule to end service with the Gas Company (800) 427-2200 and Public Utilities (951) 782-0330. Be careful not to stop gas or public utilities services until after you move out. End phone and cable service (if necessary).
  7. Deposit Refunds. Maintenance and/or custodial discrepancies will be deducted from the resident’s deposit on file. The remainder of the deposit will be forwarded in the form of a check within 21 days. Deposit checks are sent to the address on file in R'Web.

Can't Make It to Move-In/Check-In Day?

If you need consideration for an early or late Move-In/Check-In Day due to a religious or other critical reason, contact your Resident Services Office or email us. Your room reservation cannot be held unless we hear from you prior to Move-In/Check-In Day.

Parking

Parking permits are required for all cars and motorcycles in housing parking lots. If you’ve been notified that a space was reserved for you, pick up your permit on Move-In Day at your respective community. Do not bring your vehicle to campus until you have a housing parking permit. Learn how to get a housing parking permit.

Renter’s Insurance

University of California, Riverside does not assume responsibility for your personal items, including computers, cell phones and tablets.
